Authors may wish for any content they've published, to be re-used as learning material within another team member's content. This can be achieved by turning on the Redistribution toggle, when creating any content type, producible via the Studio.

It's important to remember that Redistribution and Content Visibility, work with each other. Depending on the Visibility settings used, you won't be able to share the content.
Only with Link - this is the Visibility option that will prevent any re-use of new content, even if the Redistribution toggle is on.
The exception is if previously published content had been set using Only with Link visibility, then redistribution of that content would still be possible. (This is likely to be content published prior to April 2026.)

To start, head to the Release & Deadline step in the editor of your chosen content type, or Settings for Nuggets and Pathways. From here, the Redistribution toggle button will always be switched off, by default.
Turn it on and select Save & Publish, to confirm your content as ready for redistribution.
This is the same when redistributing Easygenerator and HowNow+ content, but is not available for Guru, Logged Learning or Content Libraries (LinkedIn, Udemy etc.)
Once live, you can quickly check the status of your content, via the Content page > 3-dot menu > Manage Settings option. This opens the slide-out screen where you can confirm/amend the toggle.
It's then a familiar process when deciding to use the content again. In the below video example, the Redistributed content has been used as Existing Content, while also demonstrating that the cycle can continue, whereby the newly Published content can also be redistributed, if needed.
User Roles/Types
Each of the following User types will be able to use Redistribution in their own way.
Admins can edit Content Visibility and Redistribution settings for content created by any other user - essentially helping to manage the process across the workspace, or for a specific set of content.
However, to actually re-use any content when authoring their own learning materials, they must be an assignee or owner.
Managers can do the same as Admins, but only for content they've created or are a Collaborator on.
Authors/Collaborators will always be able to change Visibility and Redistribution on their own content, at all times.
Verifiers can always edit Redistribution and Visibility settings on content they are the Verifier of.
Assignees (Learners) who have Contributor Org User Role or higher, will be able to re-use the content they're assigned to, even if not also a Verifier or Collaborator.
For Line Manager View (Team page), content will only appear within the Assignment slide-out screen, if the content has been set for Redistribution.

Filter and Column
Redistribution can be tracked via the Content page and Users/Groups subpage > Learning History tab.
Selecting the filter will allow Admins and Managers to easily identify which content can be re-used (toggle is currently turned on), when creating their own content. Authors may then decide to choose specific content that fits the learning experience of other Users/Groups, that they may not have used before.
Note✨: Redistribution won't be applicable to 3rd party content, so the column will show the dash "-" symbol
Things To Remember
With all features, there will be points to remember, to help you provide a well-rounded learning experience. For Redistribution, these include the following...
Content already featured as Existing Content, is unaffected by the toggle's status. Turning Redistribution off or changing Visibility to Only with Link, won't remove content from within other material, where it was already featured.
HN+ Bulk import doesn't show the Redistribution toggle. The toggle will always be set to "Off" by default, after importing.
A single course imported shows the toggle with default "Off".
Duplicate content preserves both Visibility and Redistribution toggle values.
Unpublished content that has Visibility and Redistribution can be updated while content remains Unpublished. changes take affect as soon as the content is set live again.
Conflicting changes at the same time: if an Author sets Redistribution to "On", while a Collaborator changes Visibility to Only with Link, then neither action will be saved. This prevents the system from confusing which action is the correct one. Users would need to confirm with each other, and then only one action can be taken.
When bulk-updating Visibility to Only with Link, content that has Redistribution turned on, won't have Visibility updated. The pop-up will appear explaining which content is excluded and why.
FAQs
Did anything change in how Content Visibility works?
No. All four visibility values behave exactly as they did before. Content appears in the same place, and as Existing Content they remain unchanged.
What’s the default for new content?
Visibility defaults to Visible Everywhere. Redistribution defaults to "Off".
Did I lose any redistribution rights?
No. Current behaviour is preserved: if content was redistributable before, it remains redistributable. If it wasn’t, it still isn’t.
What happens when I set visibility to Only with Link?
Content is removed from all discovery surfaces including Global Search. No one can redistribute it regardless of the toggle. Content is accessible only via direct URL or assignment link. Existing Content placements from before the change, are preserved.
Can I set redistribution ON and visibility to Only with Link?
No. Only with Link is greyed out when redistribution is ON. You would need to turn redistribution OFF first. This prevents a conflicting state.
If I turn Redistribution off, does Existing Content get removed from within a content item?
No. Existing placements always remain. Turning off the toggle only prevents new reuse, going forward.
Are my reports affected?
No. Remember that the Redistribution column can be found on the Content Main Page, and Users and Groups Learning History tabs, ready to export. No other report values or calculations change.
