An Expiry Date marks logged learning that needs renewing, such as a first aid certificate that's valid for three years. HowNow emails you when that date arrives.
You get an email on the Expiry Date and a reminder 7 days later; the entry stays in your history, so log the learning again when you renew it.
How it works
You add an expiry date when you log the learning. It's optional, and it's available for every type of content except Book and Podcast. Once the entry is logged, the date is locked: to change it, delete the entry and log it again.
HowNow then sends you two emails:
When | What it says |
On the expiry date | That it has expired, for example: Your Qualification "Emergency First Aid at Work" has expired |
7 days later | A reminder of the date it expired |
The emails say you need to complete the learning again to renew it. Select View Logged Learning in the email to open the entry in My Profile › History, where you can see its details and expiry date.
For example, if you log "Emergency First Aid at Work" with an expiry date of 6 October 2027, you get the first email on 6 October 2027 and the reminder on 13 October 2027.
What expiry doesn't do
The entry isn't removed or marked as expired. It stays in your history with its expiry date, and still counts as learning you completed.
Nobody else is emailed. Only you get the expiry emails, so your manager won't be told.
Renewing doesn't update the old entry. Log the new completion as a separate entry with its own expiry date.
Note: If you log learning with an expiry date that has already passed, you don't get the first email. If it passed in the last 7 days, you get only the reminder.
Who uses it
Anyone who logs learning with a renewal date, such as the safety, compliance or professional certificates. Admins can see the expiry date when they open the entry from that person's Learning page in People.
