How to use HowNow Smart Nudges

Notifications sent to remind you to keep your teams engaged and learning!

Reminders are powerful for ensuring that learning and other important tasks are progressing as part of your Users’ and organisation’s growth. So with the all important Smart Nudges, you can receive reminders aimed at increasing user engagement, responding to Budget requests and helping you to make Skill improvements.

Smart Nudges are notifications designed to be triggered after a select period of time, when an action is required by, or recommended to, a team member. There are three user types who will receive Smart Nudges, each of them outlined below:

  • Authors and Collaborators

  • Managers

  • Budget Owners

All Smart Nudges will be sent to these Users via the web app, mobile app, Browser Extension, Slack and MS Teams. Where they apply to content, this is for Courses and SCORM Courses only.

Here’s an example of one of the notification-styles a Smart Nudge can take…

Authors and Collaborators

Related to any content that is published, Authors and their Collaborators will receive Nudges designed to encourage engagement, and interact with peers when completing their learning materials. The following Smart Nudges will be sent based on triggers and will lead Authors/Collaborators to take the right call-to-action:

Smart Nudge: "More than 30% of the people you've assigned to <Course Name> have started, but haven't completed it. Why not send them a reminder?"

  • Sent when over 30% of assigned Learners have enrolled on the Course but not finished it within 1 month.

  • Notification leads to the Content sub-page, with the “Not Started” filter automatically applied for the data table to show such Users.

Smart Nudge: "Great work! More than 50% of the people you've assigned to <Course Name> have started it. Get a meaningful conversation going in the Discussions to get people talking"

  • Sent when the Course exceeds 50% enrolment and has Discussions enabled. Triggered 30 days from the publish date.

  • Notification leads to the Content sub-page with all Users “In Progress” or “Completed”, displayed within the data table.

Smart Nudge: "Great news: People who've completed <Course Name> are leaving rave reviews! Why not share this feedback with your team to show off the great work you've been doing?"

  • Sent when 20% of enrolled Users have left a Review for the course

  • Notification leads to the Content sub-page

Smart Nudge: "Looks like <Course Name> isn't performing as well as it deserves to 😔 Your resources get much better engagement if they have attention-grabbing thumbnails, short descriptions and the right Channels added."

  • Sent if no one started the course by the end of the fourth week

  • Will still send if less than 10% of assigned Learners have started it, by the end of the fourth week.

  • Notification leads to the content editor.

Smart Nudge: "Go ahead, add a handful of Skills to <Course Name> to make it easier for your people to discover"

  • Sent when a Course has been started by less than 20% of assigned Learners, and the course has less than two Skills assigned to it.

  • Notification leads to the content editor.

Managers

The following set of Smart Nudges cover Skills and important compliance (Must Do assigned) content, for Managers to positively influence their teams’ learning habits:

Smart Nudge: "Great start! More than 30% of your team in <Group Name> have started <Course Name> why not follow up with them to finish up and level up? 📈 "

  • Sent when over 30% of the Group’s members have enrolled on to the Course, but have not completed it within 1 month of being enrolled.

  • Notification leads to the Content sub-page with all Users In Progress displayed within the data table.

Smart Nudge: “There's mandatory learning for your team: <Group Name> to finish up . Make sure they're compliant by giving them a nudge to complete <Content Name>"

  • Sent when over 20% of the Group’s members have not started the Must Do course, in the last month.

  • Notification leads to the Content sub-page with the “Not Started” filter applied and Users displayed in the data table.

Smart Nudge: "Have better 1-2-1 discussions and performance reviews with your team in <Group Name> by nudging them to update their Skills regularly. It's been a while since the last update!"

  • Sent when over 20% of the Group’s members have not updated their Skills rating, in the last 6 months.

  • Notification leads to the Skills page

Note: If a Manager is part of multiple Groups, and each Group is eligible to trigger a Smart Nudge at the same time, then the Smart Nudge notification will only be sent to the top 5 Groups. This is calculated based on the following two factors together:

  • The number of members in a Group - the higher number of members, the more priority given.

  • The creation date of a Group - the more recent the group’s creation date, the more priority given.

For example, if we imagined there are three Groups ‘waiting’ to make the top 5 for eligibility to trigger a Smart Nudge:

  • Design Group - created on 1 December / has 50 members

  • Marketing Group - created on 1 December / has 55 members

  • Sales Group - created on 1 December / has 100 members

The Sales Group would be included in the top 5 eligible for triggering a Smart Nudge, as it has the highest number of members.

Budget Owner

Learning Requests are an integral part to upskilling your team members, and ensuring they recognise that Managers take an interest in their personal/professional development. These Nudges are to help with:

Smart Nudge: “ A learning budget request is waiting for you. Check it out! "

  • Sent when a Learning Request has been submitted but no approval/rejection has been actioned within 48 hours, by the Budget Owner.

  • Notification leads to the Tasks page > Learning Requests tab, with “Pending” filters automatically applied.

Note✨: Only the Budget Nudge is recurring. All other Nudges are received once.

All of the mentioned user types can control whether they receive these notifications, by selecting the Yes/No options, found via My Profile > Settings tab.

Controlling Smart Nudges notifications

You can control whether you receive Smart Nudges or not, by heading to your Profile page > Settings tab, then selecting from the Yes or No options.

Note✨: There are some important points to remember, when using Smart Nudges in general…

  • By default, the Smart Nudges option will always be set to Yes until it is changed for the first time.

  • They can be expected between the hours of 9am - 5pm UTC

  • If an Author/Collaborator has multiple courses that qualify for sending out the same Smart Nudge, then only the top 5 of those courses will send the notification. For example:

    • 6 Courses are set to send out the same Smart Nudge

    • Courses 1-5 all have between 50-100 assignees

    • Course 6 only has 10 Users assigned

    • Therefore only Courses 1-5 will send out the Smart Nudge

    • Course 6 won’t meet the requirement to be in the top 5 to send out a Smart Nudge, as it has the lowest number of assignees.

  • If a Nudge has already been sent for a content item - regardless of what future changes are made - the same Nudge won’t be sent for that content again.

  • It’s recommended to take action when Smart Nudges are sent, but if the Author/Collaborator/Manager has not taken any action, the notification won’t be sent again. (Taking action means opening the notification)
