How to view Content History

Track changes made to Nuggets, Courses and more with Content History logs.

It’s important to be able to keep track of changes to content shared across your workspace. Knowing who edited content, when, why and what exactly was changed, eliminates the time needed to decide what happens to content and its assignees.

Content History allows User types such as Authors, Collaborators, Verifiers and Admins to become privy to such changes, making content management seamless.

Viewing Content History

Note: Changes made to internal content created before this feature was released, are not included in its Content History. Only changes made after this feature was released are documented.

When a content item has been edited from the Studio, by one of the four mentioned User types, the given update will be recorded once the User’s action has been confirmed - this means:

  • Nugget: The User has added or removed content from the Text Box or content type options, and has received a “Text Updated Successfully” message. Or, had clicked on Save & Continue > Publish.

  • Other Content Types: The User has made their changes on that specific Step of the editor, and clicked on Save & Continue (for published content, clicking on Save & Publish is only necessary for changes made at the final Step).

To then view these changes...

1. On the Dashboard > Content page, search for your content and select the 3-dot menu.

2. Select View History

3. From here the Content History slide-out screen will appear. This will display any of the relevant changes, alongside the date and time it was made.

Note: Remember that one content type (e.g., Live Class), will have its own set of changes that may not be applicable to another.

Note: There are numerous points to be aware of …

  • Regardless of whether a User is deleted or deactivated, their previous changes will remain as part of the logged history.

  • Changes made while a content item has been unpublished, will appear in the Content History logs only after the content has been republished.

  • When a Nugget's content, a Lesson of a Course, or an Assessment's content is updated once, then updated multiple times within the hour since that first change was made, the actions are all logged as one single record. For example:

    • Assessment's text has been updated at 12.15pm - this is logged as such.

    • Assessment's text is updated again at 12.30pm - the above log updates the time to 12.30pm, but the message remains the same.

  • Previously logged entries that feature Usernames, which have just been changed, are not updated in the Content History logs. The same applies to email addresses in exports. For example:

    • An Admin viewed Content History 2 days ago - it showed the Author as Jane Smith

    • Today, Jane Smith's name is updated to Jane Williams

    • The admin views the Content History today - "Jane Smith" will remain for the older logs.

  • Addition, deletion and assignment of Rewards via a Course are not recorded on the log updates.

  • Deleting a Channel or Rewards from your organisation's workspace - via the Channels and Rewards pages - does not influence History logs. This won't be recorded.

  • In edit mode in the Studio, the following changes will appear on the logs, after the content has been published:

    • Users assigned by {User Name}

    • Users unassigned by {User Name}

  • In Draft mode in the Studio, Assignment Rules will be updated in the logs, once the content is published. Individual (un)assignment will not be recorded.

  • When an Author or/Verifier is deleted or deactivated via an HRIS sync, the ownership will be recorded on the logs as changing to the Instance Owner.

  • Pathway Duration that is automatically amended whenever a Step is added, won't be updated in the History log.

You can also view the Content History via the content's own landing page, by selecting the History icon in the top right corner of the header image.

Filters and Exporting

4. There will be an option to filter the logged actions, via Update Type. Again, each content type will have its own unique list of filter options (although some may be found across all content types, e.g., Publication).

The full list includes:

  • Creation

  • Verification

  • Content (Cost Per Learner and Currency changes come under this)

  • Assignments

  • Settings and Attributes

  • Discussions

  • Lesson and Assessment Management

  • Publication

  • Content Visibility

Note: Assignment changes are documented with an “i” information tooltip and toggle list. This shows Users which exact Rules were in place at the time of the change being saved.

Indirect assignments are not recorded in Content History. These include:

  • Being assigned to content via being assigned to a Pathway featuring said content.

  • Being assigned to content via being a Group member in a Groups assigned to said content.

  • Being assigned via Custom Rules

5. Use the Export button, at the bottom of the slide-out screen, to receive a CSV file of the Content History actions you have filtered.

The file will display the following columns:

  • User Email - of the User who made the change

  • Time Stamp - when the action was taken

  • Type - Discussion, Assignments, etc.

  • Log - which change was made specifically

Note✨: Content History logs remain static, meaning - if a User's name or email address is updated, it won't be amended in previous Content History logs. The same applies to email addresses in exports.
