How budget cycles and balance resets work

S
Written by Sunil Sharma

A budget cycle is the period each member's Amount per Member covers. When a cycle ends, every member's balance resets to the full amount.

How it works

When you create a budget, you choose its Recurrence (Monthly, Quarterly or Annually) and its Start Date. The cycle is counted from the day of the Start Date:

Recurrence

Resets on

Example (Start Date 15 March)

Monthly

The same day every month

15 April, 15 May, 15 June…

Quarterly

The same day every three months

15 June, 15 September, 15 December…

Annually

The Start Date's anniversary

15 March next year

At each reset:

  • Everyone's spent amount goes back to zero, so each member can request the full Amount per Member again.

  • Unspent money doesn't carry over. If a member has GBP 100 of a GBP 300 quarterly budget left, they start the next quarter with GBP 300, not GBP 400.

  • Money counts against the cycle in which the request was approved, not when it was raised.

Rules that affect the cycle

  • The Start Date can't be in the past. A budget with a future Start Date doesn't appear in members' Your Budgets list or in the Request learning form until that date.

  • Recurrence and Start Date can't be changed once anyone has raised a request on the budget: the form shows "This cannot be changed once a request has been raised."

  • Changing Amount per Member affects the cycle that's already running, straight away.

  • If someone leaves the budget's groups and rejoins in the same cycle, what they've already spent this cycle still counts, so they don't get a fresh allowance.

Who uses it

  • Admins and Managers pick the recurrence and Start Date to match how the organisation plans training spend, for example Annually from the start of the financial year.

  • Learners see their remaining balance for the current cycle when they request funding.
