Before you decide on a learning request, check what it costs, how much budget the person has left, and the quotes or bookings they attached.
Before you start
You need to be an owner of the budget the request is charged to.
Check the costs
In the sidebar, select Inbox, then select the request.
Under Request Details, check the Type, Budget and any dates.
In the Cost Breakdown, compare Total Cost with Available Budget. After Approval shows what the person will have left this cycle if you approve.
A green Within their available budget. means you can approve it. Exceeds their available budget. means approval will be blocked until the balance covers the full cost.
Download the documents
Scroll to Supporting Documents.
Select Download All to get every file in that section as one .zip, or select the download icon next to a single file.
The files save to your browser's downloads folder.
Good to know
Which cost lines you see depends on the learning type. For example, a Course can include accommodation, travel and a daily allowance, while a Book has only a learning cost.
Bursary requests also show Invoice Documents, and later Proof of Completion once the person marks the bursary complete.
Top-ups show Previously Approved and Additional Amount Requested, plus the person's Reason.
From a budget instead: on the budget's Requests page, open a row's three-dot menu and select View Details to see the same information in a side panel.
