Budget owners approve or decline the requests raised on a budget. You can add or remove owners at any time, even after requests have been raised, for example when a new store manager takes over approvals.
Before you start
You need Admin access, or Manager access as an owner of the budget.
Only people with Admin or Manager access can be owners. Contributors and Read Only users don't appear in the list.
Change the owners
In the sidebar, select Manage › Budgets.
On the budget's row, select … (Budget actions), then Edit Budget.
If you see Edit This Budget?, select Continue to Edit.
Under Budget Owners, tick someone to add them or untick them to remove them. Current owners are ticked at the top.
Select Save Changes.
If the budget has requests, Save Budget Changes sums up the change, for
example "1 new owner can approve requests, 1 cannot". Select Save Changes again.
Remember: Each new owner gets an email and an in-app notification saying they've been assigned as a Budget Owner. Removed owners, other owners and members aren't told.
You'll see Budget updated successfully!, and the Budget Owners column on the budget's row shows the new number of owners.
What changes for owners
New owners can approve and decline the budget's requests straight away, including ones that are already pending: these appear in their Inbox, though they aren't emailed about them. If they're Managers, the budget appears in their Manage › Budgets list.
Removed owners can no longer approve requests. If they're Managers, the budget disappears from their list straight away, even if they removed themselves. An Admin can add them back.
Good to know
A budget needs at least 1 owner and can have up to 50. Save Changes stays unavailable with none. Once you've ticked 50, you see Limit of 50 items reached and can't tick anyone else.
Before you remove or downgrade someone who is the only owner of a budget, add another owner, so its requests can still be approved.
View History shows the new number of owners, not who was added or removed.
