Approve a top-up request

S
Written by Sunil Sharma

When the cost of approved learning goes up, for example a provider adds a booking fee, the person can ask for a top-up. It arrives as a separate request tagged Top Up.

Before you start

You need to be an owner of the budget the original request was charged to.

Approve or decline a top-up

  1. In the sidebar, select Inbox, then select the request tagged Top Up.

  2. Check the figures. Previously Approved is what you already agreed, Additional Amount Requested is the extra, and Reason explains why.

  3. Select Approve and confirm, or select Decline, add an optional Note and confirm.

Remember❗: You can't undo a decision. The person is notified as soon as you confirm.

You'll see Request approved — moved to History or Request declined — moved to History, and the person is notified.

Good to know

  • Only the extra amount is charged. For example, approving a GBP 10 top-up on a GBP 200 request takes GBP 10 off the balance, not GBP 210.

  • The balance check still applies. If the person's remaining balance is less than the additional amount, you can't approve it.

  • Declining a top-up doesn't affect the original request. It stays approved at its original amount.

  • On a budget's Requests page, top-ups appear as their own row with a Top Up tag, showing only the additional amount.
