Set or change who someone reports to

Written by Sunil Sharma

Reports To is someone's line manager. It decides whose Team page they appear on and which manager can follow their learning.

Before you start

  • You need Admin or Manager access.

  • Nobody can change their own manager. Another Admin or Manager has to do it.

  • If reporting lines come from your HR system, you can't change them here. Update them in the HR system.

For one person

  1. In the sidebar, select Manage › People and find the person.

  2. Open the Set Reports To window in one of these ways:

    • point to their Reports To cell and select Edit Manager, or Add Manager if they have none;

    • select the three-dot menu › More › Set Reports To on their row;

    • on their profile, select the pencil icon next to Reports To.

  3. Select the box, type part of the manager's name and pick them. To replace an existing manager, select × in the box first.

  4. Select Set Reports To.

    Note: This sends an in-app notification to the person (if they've signed in before), their new manager and their previous manager. Your workspace can turn off the notification to learners.

The Set Reports To window with a manager selected and the Set Reports To button highlighted

You'll see "Reporting manager updated for name", and the new manager shows under Reports To.

For several people at once

  1. In Manage › People, tick up to 100 people.

  2. In the bar at the bottom, select More Actions › Set Reports To.

  3. Pick the manager and select Set Reports To. The same notifications are sent for each person.

If some people can't be changed, HowNow tells you how many will be updated before you confirm.

Good to know

  • A manager can have up to 100 direct reports. If they have room for only some of the people you selected, the rest are skipped.

  • Loops aren't allowed. For example, you can't make Grace report to Chloe if Chloe already reports to Grace.

  • When a manager is deactivated or deleted, their direct reports are left with no manager. Set a new one for each of them.
