Offboard someone who is leaving

When someone leaves, deactivate their account rather than deleting it. Their learning history stays, and you can bring them back if they return.

Before you start

  • You need Admin access.

  • If they're added through your HR system or SFTP, end their employment there instead. You can't deactivate them in HowNow.

1. Clear anything that blocks deactivation

  • Workspace owner: ask HowNow to move ownership to another Admin first.

  • Only owner of a budget: add another owner to that budget in Manage › Budgets.

2. Note who reports to them

  1. In the sidebar, select Manage › People.

  2. Select Filter › Reports to and choose the leaver.

  3. Note the people listed. Deactivating leaves them with no manager.

3. Deactivate them

  1. Clear the filter and search for the leaver.

  2. Select … at the end of their row, then More › Deactivate.

  3. If they own content, budgets or Spaces, or mark assessments, choose a New Owner under Choose new owner and select Reassign & Deactivate. Pick someone who'll keep that content up to date, such as their manager.

  4. On Deactivate name?, select Yes, Deactivate.

You'll see name has been deactivated. Their seat is freed, and any learning requests they were waiting on are declined.

4. Give their team a new manager

  1. In Manage › People, tick the people you noted in step 2.

  2. Select More Actions › Set Reports To, choose their new manager and confirm.

Their new manager can now follow their learning in Manage › Team.

Good to know

  • Delete the account only if you'll never need it, because deleting can't be undone.

  • If the leaver returns, reactivate them. You'll need to set their manager again.
