How group Access Levels differ from workspace Access Levels

S
Written by Sunil Sharma

A Group Access Level is the level someone has inside one group. It sits alongside their workspace access level and uses the same four names: Admin, Manager, Contributor and Read Only.

How it works

Everyone has one workspace access level, set in Manage › People. Each group they belong to also gives them a Group Access Level, shown in the Group Access Level column on the group's Members tab. The two can differ: a Contributor across the workspace can be Read Only in one group.

A group level can't be higher than the workspace level. When an Admin changes a member's group level, the list offers only their workspace level and below. For a Read Only person the list is locked, because there's nothing lower.

Group levels decide what Managers can manage. A Manager can manage only the groups where their own group level is Admin or Manager. In those groups they can see the members, assign learning, and add or remove people. Other groups don't appear in their Manage › Groups list.

For example, Grace is a Manager across the workspace. She's a group Manager in Store Leadership Team and Read Only in Customer Care Advisors. She can manage Store Leadership Team, but not Customer Care Advisors.

Lowering a workspace level lowers group levels to match. If an Admin moves someone from Manager to Contributor, every group where they were a Manager drops to Contributor. Raising a workspace level doesn't raise group levels, so an Admin needs to set those separately.

Who uses it

  • Admins set group levels with Change Group Access Level on the group's Members tab. A member whose group level is Admin can't be changed.

  • Managers can see group levels in groups they manage, but can't change anyone's, including their own.
