Change the amount per member on a Budget

Change Amount per Member to give everyone on a budget more or less to spend. The new amount applies to every member straight away, for the cycle that's already running.

Before you start

  • Until someone raises a request on the budget, Admins and the budget's owners can change the amount. After that, only its owners can, even if you're an Admin. An Admin who isn't an owner sees "Only the budget owner can change the amount once a request has been raised".

Change the amount

  1. In the sidebar, select Manage › Budgets.

  2. On the budget's row, select … (Budget actions), then Edit Budget.

  3. If you see Edit This Budget?, select Continue to Edit.

  4. In Amount per Member, enter the new amount per person per cycle. Use whole numbers only: a decimal point is removed, so 250.50 becomes 25050.

  5. Select Save Changes.

  6. If the budget has requests, Save Budget Changes shows the new limit, for example "Each member can request only up to GBP 200". Select Save Changes again.

Remember: Once the budget has requests, its owners and members get an in-app notification of the increase or decrease. Nobody is emailed.

You'll see "Budget updated successfully!", and the budget's row shows the new amount per member.

Save Budget Changes confirming a lower amount per member, with the note that balances can be set to zero

How balances change

The difference is added to, or taken from, each member's remaining balance for this cycle. For example, on a GBP 300 budget, someone who has spent GBP 120 has GBP 180 left:

  • Raise it to GBP 400 and they have GBP 280 left.

  • Lower it to GBP 100 and they have nothing left: a balance never goes below zero.

Pending requests then show the new figure under Available Budget. An owner can't approve a request that's more than the person has left: they see Not enough budget available.

Remember: If you lower the amount below what someone has spent and then raise it again in the same cycle, they get the whole increase. In the example above, going from GBP 100 back up to GBP 300 leaves them GBP 200, not GBP 180.

Good to know

  • Lowering the amount doesn't cancel pending requests. If a request is now more than the person has left, increase the amount or decline it.

  • If HowNow has hidden budget amounts for your workspace, members aren't notified of the change.

  • The change is recorded in the budget's View History.
