How privacy and data controls work

S
Written by Sunil Sharma

Privacy in HowNow is split between Admins, each person in the workspace, and HowNow itself. Use this to work out who to ask when someone asks "who can see this?".

What Admins control

Control

What it decides

Access levels

What each person can manage, from Admin to Read Only

Content visibility

Where a piece of content can be found: the Homepage, Search, inside other content, or only by direct link

Space privacy

Whether anyone can join a Space or only people a Space owner adds

Expert search

Whether colleagues can find each other by skill

Deactivating and deleting

Whether someone can still sign in, and whether their account is kept

Expert search is the setting most likely to surprise people. When Enable Expert Search is on in Settings › Features, people with matching skills appear when a colleague searches.

With Group expert search, they appear only to people in the same group. For example, if your store teams and your contact-centre team are separate groups, a contact-centre advisor searching "returns" sees only contact-centre experts.

What each person controls

In their own Settings, everyone controls:

  • Their profile photo, which everyone in the workspace can see.

  • Their notifications, including the Digest and which Channels they arrive through.

  • Where they're signed in. In Settings › Security, they can sign out one device or select Sign out of all devices.

What HowNow controls

Some switches aren't in Settings at all. HowNow turns them on or off on request, including single sign-on, syncing people from your HR system, and features such as Insights and messages.

Data requests

There's no self-service way to export everything held about one person or to erase it permanently. When you delete someone, they can't sign in, they're removed from every group and their email address is freed, but their past learning still counts in your reports.

For a data request, such as a GDPR access or erasure request, contact your Customer Success Manager or HowNow support. For HowNow's legal terms, see the Privacy Policy on the HowNow website.
