How to send a message to your Users

Keep communication flowing between teams and individual colleagues, by using the Messages feature. It's an ideal way to reduce confusion about tasks or requirements, and helps when you need alternatives to your organisation's own external messaging systems.

Via the Web app

Select the dotted speech-bubble icon, on your homepage panel, next to your Profile picture.

This will take you to your inbox, where you'll be able to see the full list of any existing chats you have with other team members. if you're using messaging for the first time, you can compose a message via the New Message button, opening the pop-up.

From here, select the name of the User you want to message, write then attach any necessary documents you may wish to share with them. Once sent, your message will immediately appear in the chat.

You can continue the chat, and attach files using the text box. Any shared file will be downloadable, directly from the chat.

Note ✨: only files in the following format can be shared via direct messaging: JPEG, JPG, PNG, PDF at a maximum size of 5GB.

Once your recipient has received the message (this happens in real-time, via the web-app chat) and has replied, you'll see the date and the time in which both your messages and theirs were sent.

The green dot shown next to the name of the User, represents the chat that's currently being viewed.

From the Users page via Dashboard

Admins and Managers can use the Bulk Message option, from the Users page, on the Dashboard. This ensures all of the selected Users are messaged at the same time, but will create their own individual chats with the sender (on a 1-to-1 basis), and not all together in a group chat.

Note: The following points are useful reminders...

  • Admins can message all Users within your organisation's workspace. Managers, Contributors and Read Only Users, can only message those who they share the same Groups with.

  • Just like the web app, Slack and MS Teams notifications will be sent to the recipient instantly.

  • When you send direct messages to a User, they will also receive an email notification, once a day per conversation (always at the equivalent of 10pm UK time). This is to ensure that Users are not bombarded with multiple email updates, each time a message is sent! Clicking the link will re-direct you to the full chat.

  • Only one file can be attached at a time. Attempting to add another, will just replace the existing one.

  • Messages sent can't be deleted, nor exported.

  • All chats are private, and won't be seen by anyone else, e.g., other Admins.

  • You can only have one chat per User, meaning creating a New Message and sending it to 'John Doe' who you have an existing chat with, will simply add that message back to said chat.

Via the Mobile app

Click on the envelop icon at the bottom of your screen, and select the name of the person you'll like to send a message to.

Your message will be updated in real-time, between the mobile app and web app.
