Deactivate someone when they no longer need HowNow, for example when they leave. They can't sign in, their seat is freed, and you can reactivate them later with their learning history intact.
Before you start
You need Admin access.
You can't deactivate yourself, your workspace owner, the only owner of a budget, or anyone added through your HR system, SFTP or the API. Deactivate doesn't appear for them.
To see who reports to this person before you start, in Manage › People select Filter › Reports to and choose them.
Deactivate one person
In the sidebar, select Manage › People and search for the person.
Select … at the end of their row, then More › Deactivate.
If they own content, budgets or Spaces, or mark assessments, you'll see Deactivate selected user. Under New Owner, open Choose new owner, pick who takes over, and select Reassign & Deactivate.
On Deactivate name?, select Yes, Deactivate.
Remember: Everyone who reports to them is left with no manager, and learning requests they were waiting on are declined.
You'll see name has been deactivated. They disappear from the list, because it shows only Active and Invited people by default. Add Deactivated to the Status filter to find them again.
Deactivate several people
Tick the people in the list and select More Actions › Deactivate.
If any of them own content, budgets or Spaces, or mark assessments, choose a New Owner. With more than 30 people selected, one new owner takes over from all of them.
Type DEACTIVATE and select Yes, Deactivate.
Note: If some of the people you selected can't be deactivated, the pop-up tells you how many and why. The rest will be updated.
Good to know
Their direct reports have no manager until you set a new one. Reactivating the person doesn't restore these links.
The new owner can't have Read Only access.
