How to view and manage Event, Live Class or Webinar bookings (as the Author)

View your Waitlist, cancel bookings and reschedule timeslots for your Learning events!

Note ✨: This article is how to manage the bookings for an Event, Live Class or Webinar that you've created. If you're interested in modifying your own bookings (as a User assigned to the content), check out this article instead.

The following steps outline how to keep track of which Users will be attending your organisation's training events, or any personal one-to-ones.

From the Dashboard, visit your Bookings tab under Content.

Use the filters/search bar to select the Event/Live Class/Webinar you'd like to view or manage and select the title.

View Bookings

On the next page, you'll be able to filter by Status to see all the learners on the Booked or Waitlist (see more about this at the end of this article). You'll see four main statuses:

  • Attending (has booked a place on the Live Class/Webinar)

  • Booking Cancelled (the User has booked, and then cancelled their booking OR the Author has cancelled the Live Class/Webinar)

  • Attended (the User has attended the Live Class/Webinar)

  • Not Attended (the User has booked, but not attended)

Quick Tip 🧠: Bookings can be affected by the Maximum Allowed Bookings limit. To ensure that the Maximum Allowed Bookings are not fixed for any future sessions you create (after publishing the content), use the One-to-One Session Type.

For example...

  • Author creates session "Blue" > adds availability > sets Maximum Bookings to 20 (it then has a Group Session Type set).

  • This Group Session Type is now locked-in, for this Live Class.

  • Author then creates a new session "Red" > adds availability > but doesn't want this Session to have a Maximum Bookings restriction.

  • The Author is not able to remove the Maximum, as it is locked-in, from the first time it was published.

Using the One-to-One option would have allowed for any number of Users to book on to future sessions, without missing out, due to a Maximum Booking limit being applied.

Note✨ : To enhance loading times across your organisation's learning space - giving you a greater user experience - we have removed the sorting option on a select few columns.

Cancel Bookings

Using the tick-box next to the Users' names and select the X icon that will appear to cancel their booking.

Remember❗: Events/Live Classes/Webinars that are set with a Content Visibility of Existing Content or Only with Link, won't show any bookings made by the User, from within their Upcoming tab (via the Learning page).

With this in mind, the recommended approach is to use comms to manage the booking process, whereby you may need to make cancellations for them.

Mark as Attended

You can select to Mark as Attended, one or more Users, by choosing from either of the following options:

  • Clicking the 3-dot menu next to the Users' name.

  • Clicking the checkbox of select Users, or the top checkbox for all Users on the current table page, then selecting the tick icon that appears.

Note✨: The Waitlist has a series of points that Authors and Admins need to remember...

  • Users can obtain a newly available slot (after the original User has cancelled), in two different ways:

    • Auto-enrolled Users: Users on the Waitlist will be assigned the slot at random - Admins can't choose who get's it.

    • Manually assigned Users: Users on the Waitlist will receive a notification about the new time slot opening up (this is then on a first-come-first-serve basis, e.g, quickest User to book).

  • The Waitlist can be viewed via the Waitlist column slide-out screen (via the Bookings page). There's no designated page for the Waitlist itself.

  • If a Live Class/Web/Event has multiple dates (set as a Recurring Event - one session that runs consecutively each day, week or month, users can still join the Waitlist, although won't be able to choose for which date.

  • Users record of being added to the Waitlist, will remain and can't be removed. This is to allow Managers and Admins to keep a historical track of Users who may have booked on with interest, should assignments change.
