How to manage your User Licences (Seats)

Add more Users to your organisation's learning space, by quickly adding more seats to your increase your licence cap.

When your L&D strategy grows, so does your organisation - this is certainly true for the number of members coming onboard. New starters and existing members who've yet to start learning.

Increasing the number of seats (aka 'licences') available on your learning space, will enable you to quickly add new starters and existing members, who've yet to join it.

  1. As an Admin only, go to the Users page to view the summary cards.

There are four summary cards, each of them signifying the following:

  • Total Seats - represents the number of invitations that have been sent out to Users, for them to join your organisation's learning space. For the learning space owner, you will see this number when you first launch, even if no Users have signed in yet.

  • Available Seats - the number of seats you have available for sending User invites.

  • Unclaimed Invites - how many Users you've sent invites to, who are not yet active (have not logged in).

  • Active Users - the number of Users who have logged into - for the first time - your learning space. This means their account is now considered active, regardless if they are currently online or not.

2. To begin adding seats, click on Manage, found on the Total Seats summary card.

This will open the Add Seats pop-up.

3. The Add Seats pop-up will allow you to add between 10 - 1000 seats. You will always be charged for any additional number of seats.

Note✨: The number of seats cannot be decreased, from here.

4. Once you have added your seats, a confirmation pop-up will show with the number of additional seats now available. This means you can now add your Users, straight away.

5. As an Admin, you (and all the other existing Admins) will receive a confirmation email, with details about this change in User licences.

Note : There are various points to take note of, when increasing the number of seats. These include the following:

  • To easily work out how many sent invites, have not been claimed, you have two options:

    • Use the calculation: Invited Users - Active Users = Unclaimed invites.

    • Use the filter Last Activity > Never Logged In, so the Invited Users summary card shows the number of Users who've not claimed the invite. The Active Users summary card will show as "0".

  • You cannot cancel invites, once sent to Users. To revoke the invite, to free the seat again, you will need to delete the User.

  • To check how many Users are deactivated from your learning space, filter by Last Activity > Deactivated.

    • A User may be manually deactivated by a member of your Admin team, or - if your organisation uses an HRIS/SFTP - they have stopped appearing in the employee data sync.
