Assign learning automatically with rules

Use Rules to ensure specific individuals or Groups are reaching the desired learning for their Roles.

A rule assigns content to everyone who matches a condition, and keeps doing so as people start or stop matching. Use rules for things like onboarding for new starters, or a follow-up course for everyone who passed an assessment.

Before you start

  • You need Admin access, or to be the content's author or a collaborator.

  • The content must be Published.

Add a rule

  1. In the sidebar, select Manage › Content, select ... on the item's row, then Assign Learners.

  2. Select Add Rule.

  3. Under Match Learners Where, choose what to match on:

Choose

To assign people who...

Group

are in a group

Joined

joined your Organisation or a Group

Enrolled

enrolled on a course, nugget, live class, webinar or event

Completed

completed an assessment, course, nugget, live class, webinar or event

Achieved

got an assessment result, a badge, a certificate or a skill level

  1. Complete the condition. For example, Joined › Organisation › less than › 30 assigns everyone who joined in the last 30 days, and each new starter as they join.

Note: Day values go from 0 to 1500 and scores from 0 to 100. With between, the first value must be lower than the second.

  2. Select Add Rule. The rule appears as a pill, such as "Joined Organisation less than 30 days ago".

  3. With more than one pill, choose how they combine:

    • Match Any: people who match at least one pill. Use this in most cases.

    • Match All: only people who match every pill. A person plus a group they aren't in matches nobody.

  4. Select the Audience card to check exactly who matches.

Remember❗: Selecting Update Learners assigns everyone who matches straight away and notifies those who have signed in before. Check the Audience first.

  5. Choose whether to turn on Send an email notification to all assigned users. When it's on, people get an email as well as the in-app notification.

  6. Select Update Learners.

The Assign Learners panel with a Joined Organisation rule and Match Any highlighted

You'll see "Assignment updated successfully", and the content appears in each matching person's Assigned Learning.

Good to know

  • Nothing is saved until you select Update Learners. If you close the panel first, new rules are discarded.

  • Removing a pill unassigns everyone it covered, without a confirmation, once you select Update Learners. Their progress is kept.
