An event is a face-to-face session at a real address. Learners book a place on one of the dates you set.

Before you start

You need Admin, Manager or Contributor access.

Create the event

  1. Select + at the top of the sidebar, then Host a Session › Event. The editor opens in a new tab and saves a draft straight away.

  2. On Information, replace Event Name (up to 80 characters) and add an Event Summary and Description.

  3. Change Event Type from the default Conference; Training or Workshop suits most internal sessions.

  4. Under Thumbnail, select the pencil and choose an image, then select Save & Continue.

  5. On Date & Time, start typing the Address and pick it from the suggestions.

  6. Set the booking rules:

    • Event Duration: Hours (up to 12) or Days.

    • When do bookings close?: for example, 2 Hours stops bookings two hours before the start.

    • Maximum allowed bookings per session: leave empty for no limit.

  7. Pick the Start Time and check the time zone, which defaults to yours.

  8. To repeat the event, turn on Recurring event, choose How often? and pick the last session's date in Until? (it's included). For extra one-off dates, select Add availability. Select Save & Continue.

The Date & Time step with duration, booking cut-off, maximum bookings and a weekly recurring start time
  9. On Add Resources, add any handouts and select Save & Continue.

  10. On Assign Learners, select people or groups, then Apply and Save & Continue.

  11. On Release & Deadline, choose the Content Visibility, then select Save & Publish.

You'll see Your Event has been published!. Learners book from the event page, which shows each date in their own time zone.

Good to know

  • Learners don't currently see Additional Directions / Instructions, so put directions in the description.

  • Cancel the session if minimum number of bookings is not reached sets the minimum to 50 when ticked, so change it to the number you need.

  • Once people have booked a date, change it from the sessions list, not the editor.

  • Events have no join link; you mark attendance afterwards.
