An access level (Admin, Manager, Contributor or Read Only) decides what someone can do across the workspace. Admins can change it for one person or several at once.
Before you start
You need Admin access.
You can't change your own level, the workspace owner's, a deactivated person's, or the level of someone added through HowNow's API (shown as API users). People synced from an HR system can still be changed.
Change one person's level
In the sidebar, select Manage › People and find the person.
Select the three-dot menu at the end of their name, then More › Change Access Level.
Choose the new level. Update Role stays unavailable until you pick a level
different from their current one.
Select Update Role.
Remember: Lowering a level can remove the person's budget ownership, higher group levels and Space roles straight away. Raising it again doesn't restore them.
You'll see Successfully updated access level for and their name, and their new level shows in the list.
Change several people at once
In Manage › People, tick the people you want to change.
In the bar that appears, select More Actions › Change Access Level.
Under Select role, choose the new level, then select Update Role.
If some of the people can't be changed, you're told why and can carry on with the rest.
The new level shows under each person's name. Changes to a large number of people run in the background, so they may not appear straight away.
What changes for the person
The person gets an in-app notification about their new level, but no email. Lowering a level also has knock-on effects:
Groups: any Group Access Level higher than their new level drops to match.
Budgets: moving someone to Contributor or Read Only removes them as an owner of every budget. You can't do this if they're a budget's only owner, so add another owner first.
Spaces: someone who created a Space can't be moved to Read Only. Anyone else moved to Read Only becomes a Member in every Space where they were an owner or moderator.
Content: what they created stays theirs. A Read Only person can't create anything new.
