Log learning on behalf of people

Written by Sunil Sharma

Log a workshop or external course for several people at once. It goes on each person's learning history as if they'd logged it themselves.

Before you start

  • Log Learning must be switched on for your workspace.

  • Admins can log for anyone. Managers can log for people who report to them or members of groups they manage; with nobody to log for, Log Learning doesn't appear.

Log learning for several people

  1. In the sidebar, select Manage › Learning, then Log Learning. You can also start from Manage › Team › Actions › Log Learning.

  2. Choose how to record their completion details, then select Continue:

    • The same for everyone: one completion date and time spent for all, for example a workshop the team attended together.

    • Different for each person: each person's dates and time spent come from a CSV file, for example a course people finished over several weeks.

3. Choose the type (CPD, Course, Qualification, Book, Podcast, Coaching, Mentoring, Workshop or Event) and select Add Details.

4. Fill in the details, such as the title, provider and duration.

5. Add the people:

  • The same for everyone: enter the Completion Date and Time Spent, select Continue, tick the people, then select Add Members.

  • Different for each person: select Upload User Details, then Download Template. Fill in one row per person (email, completion date, time spent, and optionally an expiry date and evidence link), upload it and select Log plus the type, for example Log Course.

Note: Logging starts as soon as you select Add Members or Log, with no summary step. Each person gets a notification that it was logged for them, asking them to add a review.

You'll see Logging Learning while it runs in the background. When it's finished, you get an email, "Your bulk learning upload has been processed", saying how many rows were logged. It then appears in Manage › Learning with the source Logged (for Managers, on My Groups or My Team), and in each person's learning history.

Skip the upload for now

If you're an Admin and started from Manage › Learning, you can select Skip at the upload step with Different for each person, then Skip Upload. The learning is created with nobody on it; add people later with Add Learners.

Log learning for one person

In Manage › People, select ... on their row, then More › Log Learning. Here you can also attach Supporting Evidence (PDF, DOC, DOCX, JPG or PNG, up to 10 MB).

Good to know

  • Time Spent fills in from the duration you enter. Change it if people spent longer or less.

  • Limits: the CSV file can be up to 25 MB; time spent up to 9,999.99 hours.

  • Evidence for a group log has to be added afterwards, person by person, with Edit Log.
