How Content Visibility options work

S
Written by Sunil Sharma

Content Visibility decides where people can come across a piece of content in HowNow. It doesn't decide who has to take it; assigning does that.

Where to set it

  • In the editor: on the Release & Deadline step (or a nugget's Settings), under Content Visibility.

  • For one item: in Manage › Content, select ... on its row, then More › Manage Settings.

  • For several items: in Manage › Content, tick the items, then select More Actions › Change Visibility.

Admins and the content's author, collaborators and verifier can change it.

The four options

Option

Where people can find it

Visible Everywhere (default for new content)

Homepage, Search, Recommendations and the Learning tab.

Visible in Search, Channels, and Learning

Search, Spaces, the Learning tab, and inside pathways and lessons it's part of. Not the Homepage or Recommendations.

Visible in Existing Content

Only inside pathways and lessons it's been added to. Not Search or the Homepage.

Only with Link

Nowhere, including pathways, Spaces and lessons it's part of. People open it from the direct link (Copy Link in the row menu), and only if it's assigned to them or they're an Admin, its author, a collaborator or the verifier.

People it's assigned to still see it in Learn › Assigned Learning at every level.

For example, "Store Opening Checklist" only makes sense as a step in your onboarding pathway, so choose Visible in Existing Content to keep it out of Search.

Remember❗: If the content has ever been published, changing its visibility sends an in-app notification to assigned people who haven't finished it, and to its author, collaborators and verifier (not to you).

Good to know

  • Only with Link can't be chosen while Redistribution is on.

  • Moving to Visible in Existing Content or Only with Link removes the content's mandatory and announcement highlights for learners. Moving back restores them.

  • Every change is recorded in the content's history (More › View History).
